Part Time Weekend Office Administrator

Dickson Realty, the #1 real estate company in the Reno/Sparks area is looking for a part time weekend receptionist. For many years, we have enjoyed employing UNR students in this position that will provide real-time business experience.

1. Purpose of Job

This position is one of the most important roles with our company. You are the face and voice to the public and the counselor, assistant, facilitator, guide to our agents during the weekends. 

2. Scope

Under limited weekend supervision, this position will provide administrative support to agents, brokers, operations managers, and other staff as needed. This position reports directly to the VP of Operations.

3. Principal Duties and Responsibilities

  • Greet and direct clients in a professional manner
  • Answer calls on multi-line phone system and direct calls as appropriate
  • Manage security codes for alarm systems, copiers, phones and other systems (if applicable).
  • Manage and troubleshoot branch phone system including assigning phone numbers, call for service and other phone-related duties
  • Manage, administer, and troubleshoot branch copier systems
  • Restock paper and changing ink in printers
  • Restocking supplies
  • Manage listing, opening, and closing files
  • Input listing and status changes in the MLS
  • Commission system data entry including listings, closings, agent profiles etc.
  • Computer updates for branch staff, agents and brokers and liaison with computer consultant
  • Order supplies and post mail 
  • Order and maintain inventory levels for office and janitorial supplies for branch
  • Keep kitchen/employee break area clean
  • Assist, support or guide agents with company directives as appropriate
  • Assist or support accounting, marketing and other staff as needed.
  • Branch key management and distribution
  • Order and/or direct office maintenance as needed
  • Organize and coordinate interoffice mail deliveries
  • Attend virtual office admin meetings during weekdays or review agenda notes over the weekend.
  • Other Admin Duties 

Knowledge, Skills and Abilities (will be trained)

  • Proficient with MLS
  • Proficient with Google applications and MS Suite of products including Word, Excel, InDesign and PowerPoint and computers and software packages in general
  • 3+ years with real estate brokerage firm or related business (title, lending, etc)
  • Must enjoy working with public and represent Dickson in a personable and professional manner
  • Strong administrative skills and discipline
  • Able to keep client-facing areas neat and pleasant
  • Requires minimal supervision and the ability to work independently
  • Able to perform accurately and thoroughly under tight deadlines
  • Strong interpersonal skills and ability to relate to owners, agents and staff from all levels within the organization
  • Ability to multitask efficiently while maintaining composure
