This position has been designated as “in-training”; as such WSP will consider filling this position at a Forms and Records Analyst 1, Forms and Records Analyst 2, or Forms and Records Analyst 3 level. The salary range will depend upon at which level the position is filled at and the qualifications of the successful candidate. 

 

Forms & Records Analyst 1: In-training 

Approx. 12 months

$3,167 to $4,194

Forms & Records Analyst 2: In-training 

Approx. 18 months

$3,643 to $4,865

Forms & Records Analyst 3: In-training 

Approx. 6 months

$4,093 to $5,501 

 

About the Position:

The Forms and Records Analyst 3 handles public disclosure and discovery requests for the Forensic Laboratory Services Bureau (FLSB), ensuring that we meet the legal requirements for timely response to public disclosure requests, Subpoenas Duces Tecum, and discovery for the Crime Laboratory Division, Toxicology Laboratory Division, and Impaired Driving Section. In addition, the position provides administrative support to the Crime Laboratory Division Standards and Accountability Section and the Toxicology Laboratory Division.

The incumbent interacts with managers, supervisors, and staff to coordinate collection of responsive records, filling out the proper forms such as the Public Records Control Sheet, and answering questions about the public records and records retention policies.  The incumbent works with the WSP Public Records Officer to ensure the FLSB is in compliance with state statutes on public records disclosure.

Duties

Coordinates responses to all public disclosure requests, Subpoenas Duces Tecum, and discovery requests, to include the delivery, distribution, access, maintenance and retention of manual and/or electronic forms and records.

Assists requestor in defining the scope of records requested and assists FLSB staff in identifying records responsive to a request. Identify and redact information exempt from disclosure.

The incumbent ensures disclosure requests are vetted, and non-disclosable information is appropriately redacted before the records are released.

Consult with managers and supervisors to ensure staff are following records retention requirements in accordance with agency policy and state law.

Work Setting/ Hazards:
The working environment is a business office for most daily work.  Work may also take place in a laboratory where hazardous chemicals and evidence must be safely handled.

Schedule (i.e., hours and days):
Eight hour workdays are typical, Monday through Friday, but overtime may be required.

Travel Requirements:
Some travel for meetings and audits may also be required.

Tools and Equipment:
Computer, photocopier/scanner.

Customer Interactions:
Receives communication from citizens through formal public disclosure requests.  May interact via letter, telephone, fax, email, portal (GovQA) or in-person with citizens and attorneys

Qualifications

 

  • High school diploma/ GED
  • Two year’s experience in administrative support, records management, or related field.
  • Good computer skills to include knowledge of Microsoft Office products.
  • Proficiency in using document redaction tools such as Adobe Pro.
  • Knowledge of document formatting and hyperlinking.
  • Skill in the use of general office equipment.
  • Good communication skills, to include telephone/verbal and written communications.
  • A positive attitude and the ability to work with a diverse group of people internal and external to the agency.
  • Comprehension of written and verbal directions.
  • Ethical, can maintain confidential information.
  • Maintains a safe work environment as mandated by the applicable federal, state, agency and bureau regulations.
