Inventory Management Specialist
The Inventory Management Specialist is responsible for maintaining accurate inventory levels, ensuring efficient product flow, and supporting warehouse operations. This role oversees inventory counts, reconciliations, receiving processes, and system updates to ensure the company maintains reliable stock information, minimized shrinkage, and organized warehouse operations.
Responsibilities
Inventory Control & Accuracy
- Maintain accurate inventory counts across warehouse and store locations.
- Perform regular cycle counts and full physical inventories.
- Investigate and reconcile inventory discrepancies.
- Ensure products are properly labeled, scanned, and stored in their correct locations.
- Monitor shrinkage, damaged goods, and returns, document and report findings.
Receiving & Stock Handling
- Oversee incoming shipments and verify quantities against purchase orders.
- Inspect goods for damage, expiration, or quality issues.
- Ensure all receiving documentation is completed accurately.
- Coordinate with purchasing to resolve shipment or vendor issues.
Inventory Tracking & Systems Management
- Update inventory software (ManageMore) with new stock, adjustments, and counts.
- Maintain item master data: SKU setup, descriptions, pricing, and categories.
- Generate inventory reports to support purchasing and management decisions.
Stock Organization & Warehouse Maintenance
- Maintain a clean, organized, and safe warehouse layout.
- Optimize storage systems to improve picking efficiency and reduce errors.
- Ensure FIFO/FEFO (first-in-first-out / first-expiring-first-out) is followed.
- Manage shelf tags, bin labels, and product rotation procedures.
Purchasing Support
- Monitor stock levels to identify when items need to be reordered.
- Communicate low-stock or out-of-stock alerts to the Purchasing team.
- Provide data to guide purchasing decisions and vendor negotiations.
Reporting & Analysis
- Prepare weekly and monthly inventory reports.
- Track and analyze inventory turnover, slow-moving items, and shrink trends.
- Recommend improvements to increase accuracy and reduce inventory carrying costs.
Compliance, Safety & Documentation
- Follow all safety standards and warehouse regulations.
- Maintain accurate documentation for audits, compliance, and cost tracking.
- Ensure hazardous or regulated items are handled correctly.
Team Coordination & Communication
- Work closely with warehouse staff, purchasing and accounting.
- Train employees on inventory procedures and system use.
- Communicate inventory issues or urgent stock needs promptly.
Continuous Improvement
- Identify inefficiencies in inventory handling and propose solutions.
- Help implement new tools, systems, or processes to improve accuracy and flow.
- Support company goals related to cost control, organization, and operational efficiency.
