POSITION SUMMARY
Under the general supervision of the Associate Director of Business and Finance of Student Housing and Residential Life (SHRL), the Account Specialist supports the financial well-being and success of students by managing housing account communications, resolving billing concerns, and providing individualized account guidance. This position serves as a key liaison between students and various campus departments, including Student Financials and Financial Aid, to ensure accurate, timely, and student-centered financial support. Responsibilities include account review and maintenance, proactive outreach regarding outstanding balances, preparation of financial reports, and collaboration with campus partners to support student retention and success. The role requires strong communication, problem-solving, and technical skills, along with a commitment to confidentiality, teamwork, and high-quality customer service. Additionally, this position represents Student Housing at university events and may assist with departmental programming, professional development activities, and serve as a back-up to the Budget Analyst.
Examples of Duties
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:
• Communication: Respond to student and external department inquiries promptly, provide updates, and communicate effectively. Establish student contact to resolve outstanding balances.
• Case Management: Provide collaborative outreach and curated solutions to individual students to assist with identifying payment options and timelines.
• Billing Concern Resolution: Identify, research, and resolve student billing issues, ensuring a positive customer service experience. Identify student accounts with large outstanding balances and recommend appropriate solutions to students.
• Account Management: Maintain confidentiality while accurately handling student accounts directly with students: reviewing balances, tracking account activity, monitoring charges and residents' installment payment plan status.
• Collaboration: Working alongside Student Housing and Residential Life professional staff and paraprofessional student staff as well as campus partners, specifically SHRL Operations team and Student Financials and Financial Aid departments, to meet student needs. Provide data to appropriate Residential Life staff to inform context for individual student's situations to the Care Team.
• Reporting: Monitor all posted housing balances. Prepare monthly/weekly reports on student balances, charges and other billing data.
OTHER FUNCTIONS
• Assist department sponsored events such as Fall and Spring Move-In days as well as Move-Out, Orientation, Admitted Otter Days and large-scale programming events.
• May be required to work some evenings and weekends.
• Attend relevant national, regional, and local professional development conferences, workshops and seminars.
• Promote and maintain an atmosphere of excellent internal and external customer service within the department and the campus community.
• Will serve as back-up for the Budget Analyst.
• Performs other duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES
• Strong communication (written and verbal), interpersonal, and problem-solving skills are essential. To be able to effectively communicate across diverse audiences.
• Ability to work independently and as part of a team.
• Strong organization skills and attention to detail.
• Proficiency with Microsoft Excel and Google Suite.
• Working knowledge of enterprise systems such as PeopleSoft or similar Student Information Systems (SIS), and Access for data analysis and reporting.
• To be able to demonstrate a strong commitment to providing exceptional internal and external customer service. Ability to maintain professionalism and confidentiality when handling student inquiries or concerns.
• Knowledge of basic accounting principles related to accounts receivable, revenue reporting, and financial documentation.
• Understanding of student billing processes, account reconciliation, and revenue tracking within a higher education or housing context.
• Awareness of and adherence to federal regulations such as the Family Educational Rights and Privacy Act (FERPA), with a demonstrated commitment to maintaining the confidentiality of student information.
Qualifications
MINIMUM QUALIFICATIONS
Education and Experience:
Associate's Degree, plus at least one year of Administrative or Bookkeeping Experience.

The hourly hiring range for this position is $24 - $27. Classification: Grade 4, Staff. This is a non-exempt position and as such is eligible for the overtime provisions of the Fair Labor Standards Act.
